We are seeking suitably qualified KOREAN nationals to apply for the below position.

The United Nations World Food Programme (WFP) is the world’s largest humanitarian agency fighting hunger worldwide. In 2012, WFP aims to feed 90 million people in more than 70 countries. The WFP ROK office is located in Seoul and works mainly for fundraising for private and government sector. The office closely works with WFP Headquarters in Rome and the Regional Bureau for Asia in Bangkok on corporate issues. We are seeking suitably qualified KOREAN nationals to apply for the below position.

 

REF: ROK001 FINANCE&ADMINISTRATIVE ASSISTANT

GENERAL SERVICE LEVEL 5 (GS5)

 

The incumbent shall work in the WFP ROK office, which is located in Seoul. Within delegated authority, the Finance & Administrative Assistant will be responsible for the following duties:

 

·      Extract and review for accuracy data from various sources in financial/accounting/administrative systems;

·      Plan and maintain the procedures for receiving/accounting contributions through on and off line and tax deductible receipt issuance;

·      Assist in maintaining a selected number of administrative and finance control records, such as for commitments and expenditures, travel, insurance, procurement and other;

·      Prepare bank reconciliation and conduct analysis of general ledger accounts;

·      Maintain proper control over financial records prepare routine financial reports;

·      Respond to accounting, budget or financial queries regarding data from staff in the unit and elsewhere in the Programme;

·      Verify vendor claims for accuracy and conformance with WFP finance rules and regulations; perform claim verifications against documentation to ensure that purchases/services are properly authorized and that the goods have been received or services rendered; and ensure timely recording and processing of vendor invoices in the Programme’s information system;

·      Monitor vendor advances and other receivables and ensure timely clearance of vendor outstanding items, taking corrective follow up actions where required;

·      Prepare necessary receipt and journal vouchers;

·      Assist in the preparation of budget, accounting, financial reports, statistical reports and other reports as required;

·      Initiate and process administrative actions such as those found in human resources, travel, procurement, disbursement;

·      Review supporting documentation, verify claims for action and conformance with administrative rules and regulations and liaise with other offices as appropriate;

·      Make computations, calculations and estimates and prepare basic reports or assist in the preparation of periodic reports including forms, tables, charts and other;

·      Respond to queries from a variety of sources by providing available information and provide advice and guidance on rules and regulations related to area of work or direct to the most appropriate source;

·      Draft correspondence relating to the area of responsibility;

·      Design and update charts and tables utilizing graphic software, design hard copy and computer resident forms; initiate, update and track computer assisted processing of administrative actions;

·      Provide information related to the above functions and exchange a variety of statistical information;

·      Arrange meetings such as workshops and seminars;

·      Search for, retrieve, compile, assemble and archive a variety of statistical data from computer files, records, reports or from other sources for external use;

·      Make travel arrangements in line with administrative rules and procedures;

·      Set up, classify and maintain files;

·      Initiate and modify automated transactions;

·      Perform other related duties, as required.

 

Critical Success Factors:

 

 Ability to review a variety of data, identify and adjust data discrepancies. Identify and resolve operational problems with substantial independence.  Ability to obtain or give factual information of a non-routine nature involving interpretation of facts and requiring clarity of expression. Ability to perform detailed work, frequently of a confidential nature and/or to handle a large volume of work systematically, effectively and accurately. Ability to train other staff regarding relevant work responsibilities. Ability to work in a team environment and coordinate assignments to achieve common goals. Ability to deal patiently and tactfully with people of different national and cultural backgrounds.

 

Qualifications and desirable skills:

·         Education: Secondary school education. Preferably a University Degree in Management and Administration, Economics, Law, Financial Management, and any other relevant field

·         Experience: At least four years of progressively responsible clerical work experience in general administrative work including at least two years in the field of finance, accounting, audit, administrative services or other related field.

·         Language: Fluency in both oral and written communication in English and Korean.

 

CONTRACTUAL CONDITION: One Year Fixed Term Appointment (renewable) plus excellent benefits.
